A good and simple tool to help you become more productive is the Eisenhower Matrix, attached below.  The simplicity and efficacy of this matrix is astounding.  Using the matrix below, you will separate your actions based on four possibilities.

 

  1. Urgent and Important

 

  1. Important, but not urgent

 

  1. Urgent, but not important

 

  1. Neither urgent nor important

 

“What is important is seldom urgent, and what is urgent is seldom important” -Dwight Eisenhower.

 

Urgent tasks are things you feel like you have to respond to immediately, such as phone calls, texts, meetings or approaching deadline, while Important tasks are things that contributes to long term success, such as planning, organizing, implementation of systems and structure, etc.

 

For urgent and important tasks, you want to do that immediately without procrastination or delay.

 

For important but not urgent tasks, you want to plug in your calendar, schedule a conducive time to accomplish.

 

For urgent but not important tasks, you want to delegate that away for someone else to handle on your behalf.

 

For not urgent and not important tasks, you want to completely delete it.  Do not even bother with it.

 

The Eisenhower Matrix isn’t perfect but I have found it very helpful in making prudent decisions and increasing my productivity.  It also helps eliminate tasks that will drain my time, energy and thinking capacity.  I hope you find it useful as well.
